Call the Meeting to Order

H. Hoilett-Frierson called a meeting of the board of trustees of Butler Academy to order on Wednesday Jul 22, 2026 at 5:39 PM.

Approve Minutes

H. Hoilett-Frierson made a motion to approve Board Meeting on 06-24-26.
J. Hudson seconded the motion.
The board VOTED unanimously to approve the motion.

II. Committee Updates

A.

Any updates from committees that have met

Executive Committee: will revamp evaluation tool for Director of Operations for future years.

 

Scholar Committee: created a document to regulate the use of AI at Butler Academy. Document draft will be reviewed and discussed at the next board meeting. Draft attached to meeting information. 

 

Finance Committee: Current account statement: about $650,000 cash on hand (vs. about 844,000 at the same time last year). Report attached to meeting information. 

 

Facilities Committee: will review goals for the upcoming year; Butler Academy is renting classrooms for the upper school for the year from Butler Heritage; the lease agreement (for one year) is a good agreement.

 

Development Committee - no news

H. Hoilett-Frierson made a motion to Approve lease agreement with Butler Heritage Foundation for classroom space for 2026/2027.
A. Rhodes seconded the motion.
The board VOTED unanimously to approve the motion.

III. Update on Operations

A.

Update on Operations from Venesa Reyes

Enrollment update:

Grade 1-8 full, Kindergarten 43/48 spots filled, Upper School about 75% filled. All enrollment numbers are normal for the school. 

 

24 is the maximum number of students in a class in the Lower School. Middle School and Upper School divide into smaller groups for most classes.

 

Support for $150 families who need uniform assistance. BA also offers a traditional after-school program (XDP) until up to 5:30 pm, which will run with some community engagement. 

 

BA expects a grant of $21,000 for Fresh Fruit and Vegetables Program. 

 

BA is preparing for the Administrative Review (runs every 5 years). 

IV. Other Business

Introduction of New Board Members and ELT/Deans (if changes)

Casey Hancock and Meaghan Isgett introduced themselves as new members of the Board.

 

 

B.

Set Calendar of Board Meetings for 2026/2027

Meeting in the upcoming year, our regular schedule will be to meet on the third Wednesday of every other month. 

We will meet on

 

September 16th 2026

November 18th 2026

January 20th 2026

March 17th 2026

May 19th 2026

 

In between the full board meetings, committees will meet. 

If we need to add full board meetings, we will do so.

Set Board Goals

Please make suggestions for committee goals and discuss within committees.

 

Please send suggestions for board goals to Hannah Hoilett-Frierson to review and bring to the board for the next full board meeting. 

 

New members are encouraged to reach out to the Chair to join committees. 

 

Full meetings are in person; committee meetings are usually virtual. All meetings need to be public; i.e. online meetings should be on the school calendar and set to "open" in the calendar meeting. If three or more board members meet, this constitutes a "meeting."

 

The Chair and Vice Chair will work out the staggering dates for board memberships.

Summer Reading Program Update

This update is moved to a future meeting.
