Call the Meeting to Order

A. Audate called a meeting of the board of directors of Peace Academy Charter to order on Tuesday Aug 18, 2026 at 6:05 PM.

Approve Minutes

M. Olaiya made a motion to approve the minutes from July 2026 Board Meeting on 07-21-26.
C. Patterson-Ellis seconded the motion.

Minutes were hidden now they are back. 

The board VOTED unanimously to approve the motion.

II. Financial Report

CFO Report

Candace reviewed the FY26 Financials 

Unaudit Financials $7.3K deficit for the year after depreciation 

Year end $220K

 

July first funding of the year hit. $474.5K for first payment.

Ended July with a $200+ balance.

 

 

III. School Leader's Report

A.

School Leader's Report

A slight change in how data has been presented in the past. The board will have access to this information. Only critical items will be discussed. 

 

School Wide Organizational Score Card 

  • Enrollment Current : 283, Target 350 
  • Attendance Rate: 94% 
  • Reading and Math are the biggest focus areas 
  • Staff retention: Current 100%, target 90%
  • Cash on hand 45/60 : off track 
  • Goal of 90% target, current 82% 

Currently we are having challenges with access to EPI center. Outreach was made several time without success. 

 

Fundraising goal of $5,000.00. Fundraiser is Slice the price card. It supports our scholars trip to Africa! There is a request that all board members purchase at least 1-2 cards or sponsor a student. Additionally, share on social media and networks 

 

Human capital 

  • 40/42 positions filled 
  • Teacher retention exceeds 90% target 
  • Teacher Retention exceeds 90% target 
  • Efforts to ensure staff and teachers feel secure has been successful using a pulse survey 
  • on a scale from 1-5, overall 4 and above. 

Executive Director Narrative 

  • Culture feels good. Staff enjoy being at school. Family culture has always been strong. 
  • Last year ended the year successfully despite 1000000 budget cut. We ended the year to be able to pay our staff 
  • Concerning is reading below the target | Fix: separate reading intervention by grade ban with other strategies connected to the science of reading such as iready 
  • Enrollment efforts - canvasing around south Dekalb, Wesley chapel to get scholars here. We have been enrolling scholars daily so initiative seems to be strong. 
  • Enrollment efforts - brought back marking company. we brought back a bus, and are at 9% utilization, max is 19%. Several parents who expressed interest, are currently riding the bus. it's proven to be effective. 
  • Starting a math tutoring program that is virtual and live by certified educators. 50 students 1:5 , twice a week for 10 weeks. Based on iready testing scores. 3rd - 6th grade because they have the largest gap. 4 groups on grade level, 4 groups below, and 2 not on track. We are applying for the SCSC tutoring grant to be able to service more scholars. We currently have an AirTag on the bus and a group me for parents for communication. For emergencies regarding bus - Sean , then ebony, then admin. Attendance with parent contact information is on the bus. Transportation company  has 100% liability. 

School Director Report: Academic Performance 

 

  • Scholars are already growing 
  • Groath goal : 85%
  • Kinder 59% reading on grade level 
  • 2nd grade is 52% on grade level 
  • Charter goal : 55% 
  • 6th and 5th and 4th focus with lower reading scores. 
  • tier 2 and 3 intervention, over 53% on tier two at the start of year and ended with 12% in that group. 
  • I-ready, HMH, Amira, GKIDS, and Read write INC. 

Culture and Attendance 

  • 3 incident reports 
  • All K-3 classrooms are running color stick to fidelity. 
  • Upper grades have individualized 

Operations 

  • Enrollment: 
    • 5th grade lowest at 52% towards enrollment
    • Attrition : 3300 applications, 146 turned in registration, 111 first day in seats 
    • Implemented carina system for facilities and Maintenance and resolution time. 
    • HVAC Is repaired, but one unit still not working. not in a classroom but in an office. 
    • We no longer have a leak, but no final repair knowledge yet 
    • We are at the punch list renovation list at this point. Construction crew is doing final walk thru either a fine tooth comb. The landlord requested to not pay portion of the rent, to help pay for the repairs. In practice we need to have enough cash on hand to sustain that. The other alternative is declining the offer and write a check for 100k 
    • Transportation: 90% of scholars arrive on time, 84% of scholars are dismissed on time afterschool. 1 admin remains with scholars daily. 0 safety incidents this day. 
    • 100% of our staff have devices that work 
    • We have been able to use 1 company for all of our special education services. They come on wednesday and Thursday. this is a change from last year when we had several companies. Now we are able to service scholars more efficiently. 
    • 31 active IEPs 10% of our population , 41 total ESE students (rep, 504s, etc), 6 Gifted scholars. incoming 20 families with some sort of need.All 15 ieps have been welcomed and serviced with in 30 days. We are on track and meeting all state deadlines. 
    • MKV population 8% currently. We save 2% of our budget for MKV scholars. We let families know their statuses shouldn't impact their ability to get to school. 
    • Received a full approval for MTSS. 
    • T.H.R.I.V.E GIFTED Program increased from 7 to 9. 
    • PEACE GARDEN that we have started. The fruit is edible! It's a big deal! 

 

The front part of the building would like to be used as an event center and activities. There is already an interest in hosting a political discussion. All events must be independent of PEACE and not connected but potential to bring in more money. A facility agreement will need to be drafted, the funds will need to be allocated. Ebony said the first allocation will need to be used as cash on hand. Utilization would need to be after school or weekends only.

Dating, Nepotism, and Fraternization

There are no votes for this since the policy was not sent to the entire board. Michael indicated that there is a draft in the drive. We will vote on it at the next meeting within 7 days of today and we will vote on it at the next meeting. Michael will reshare it with the board.

Capitalization Policy

This is a very important policy. It was discussed at the last board meeting, and prepped to vote for this at this meeting. Moving forward the policy will be followed as written. This policy was consulted and reviewed for the finance community.

V. Facility Committee

Construction Updates

Ebony provided updates regarding the facilities. All board members to visit the building and see the amazing work that is happening. We are pleased with how all hiccups were managed by the contractors. We encourage everyone to come see the school in person

Finance Committee Report

Observations By Director Olaiya:

  • July's surplus is more of a timing more than a performance on the school. It hasn't been the cadence. Do not carry that into any decisions moving forward. 
  • Our forecast 500k in surplus is not accurate and built off of 300+ and we are at 280 scholars. 
  • Funds that are available to us 300k in federal money tile 1,2, and 4 funding and IEDA.  

We will be submitting our DE046 , August 24 and budget for federal funds. Until those are approved we can not draw down any funds. we have already drawn down 100% of our federal funds with a positive track rate. Every year we are supposed to submit enrollment projections to the SCSC, if our enrollment doesn't match the projection, December -May we will see a deduction in allocations.

Fundraising & Marketing

Excused absence today. We are earlier in the year but the pizza fundraiser is currently active and we can all donate and contribute! 

 

C.

Academic Excellence

Nothing to add in addition to Ebony's report. Two new board members who are passionate about academics and will be attending the next board meeting. One outstanding committee - community outreach, a description was provided. Voting is not required. Your role as a board member is to recruit committee members. 

 

  • An amendment and motion was made to agenda for executive session for personal compensation matters. School leader will not be apart of that conversation.
