IV. Board Chair Report

A.

Updates

Discussed Board Engagement for AY 26.  Check the TLS Family calendar on the website to know what events are happening.

 

Check the Weekly Memo for reminders of events.

 

Board Eval is 100% complete.  Will share results at the Retreat.

 

Will have a table at two events at the school on Aug 13 and Aug 25 to meet families and share information about the Board Annual Report Executive Summary.

 

Will add new members' names to the Board Management Tracker.

 

Reminder of how we make things happen:  Ideas come to a committee meeting, through Weekly Memos,  a draft to comment on via google docs, back to the committee, then to the board for additional feedback, then additional revision before returning to the board for a full vote.  Look for a doc at least twice in committees and board meetings.

Approval to Amend TLS Performance Contract

R. Langrall made a motion to approve Amendment 4 of the original charter contract.
S. Jones seconded the motion.

V. Committee Reports

A.

Governance Committee

Annual Report - review to get an overview of the year.  Executive Summary coming soon.

 

Discussed progress on completion of the ED Succession Plan.  Need to define list of responsibilities for leadership team members.

 

Tech Risk Management will move to the retreat - We should sign off on an AUP and remember not to use any personal email/chat for board work.  

 

Reviewed 3 policies:  Human Sexuality & STDs Instruction Policy, Students with Diabetes Plan, and Title IX Sexual Harassment.

 

 

 

B.

School Performance Committee

Discussion of the Teacher Development Rubric.  Will add reviewing board comments on the rubric to the next SP Comm meeting.

 

Review the committee charter for the board retreat.  There will be a quiz!

 

Restorative Justice Policy and Student Leadership Development Policy - will go back to the SP Comm for additional review on 8.12.  SM will ask SL to review after SM edits.

C.

Finance & Facilities Committee

Reviewed the KPIs. Not paying some bills from June altered our actual standing.  A more accurate picture will emerge in July.

 

CSP

  • Purchasing furniture for the new building will take a chunk
  • DO and new EA will do time sheet analysis next year to help support the reimbursement process.
  • Will revise the grant budget this summer to address some new positions that were not present in Spring 2024; edit furniture options.  Believe that the full amount will be spent as there is now space to order furniture and a lot will be needed for the new building.
  • Invoices have to come in. Proof of payment takes 30 days. Physical (non-staff) expenses should concluded by February to handle the invoice/payment cycle time frame by end of April, when the grant ends.
  • DO role is shifting over to finance.  Need a month by month spenddown projection for AY 27 to ensure all funds are spent.
  • Board is available to help decorate halls for Open House.

VI. Executive Directors Monthly Report

A.

Slide Deck Presentation

Budget-based enrollment goal: 382 students

Internal Goal: 410 students

Currently at 405, with several applications coming in a day

Wait-listed in Grade 2, 3, and 6

 

Have found that it's about 5 students per grade level that leave in the first few weeks, so are planning for that. Overall, we are in a promising position.

 

Staffing:

100% of the leadership team staffed

1 science vacancy

 

Assessments

  • Benchmark Data BOY - coming Week of August 31 for math and ELA
  • Assessment Summary - Topic quizzes and summary quizzes in math and ELA, will add science.  Can access the assessment tracker are used for progress monitoring.
  • Formative assessments help with spiral review of MAP prep.  Six times a year. Graded and tracked and used in data meetings.
  • Assessment Windows: MOY - December; EOY - April
  • Teacher goals aligned to iReady and MAP data.
  • If we added Panorama, would do a separate table for student leadership and school culture as these are not achievement-related.

Attendance Goal is finalized at 90% at end of Year Five (ADA)

Out performed AY 25 in every month except January and October, coming in at end of AY 26 @ 89%.  Dips in Oct, Feb.  AP for Culture is working on plans to increase in enrollment.

 

Student Retention will be updated when students arrive

Ditto for Staff Retention - need to clarify what the YOY retention vs stays to end of year percentage looks like.

 

Referral Data

Need to determine average percent of students per month that are receiving receiving referrals. Real data, not skewed to make us look good.  Need it to come up with effective responses.  Wonder about comparative data.

 

ED Annual Report will arrive next week with data and narrative.

Engagement 

  • Everyone engaged and participated in the meeting by giving feedback, asking questions, and making motions.
  • Covered a lot of material in a relatively short period of time.
