II. Administrative / Financial Overview

A.

Financial Position

B. Chan went over Dashboard with the committee.

B. Chan went over the end of May status.

Beginning of May the starting cash balance was 1.2M. We have 698,000 in ending cash balance.

Fundraising-

D. Zieff discussed briefly the idea of bringing in a grant/ fundraising person help raise funds. D. Zieff states he spoke to someone to get a proposal for a fundraising plan. He will speak to her and get more details for next meeting.

Our Budget with our entire funding is 10,903,515

21st Century after school program needs to be approved by the end of the school year. Once this is approved we will draw it down because these are funds we have been spending.

D. Zieff asked if someone in private funding asks, do you have financial information? B. Chan reports everyone should be able to use the 990.

III. Review of FY26 Financials

A.

Financial Documents

B. Chan went over budget to actuals with the finance committee.

IV. New Vendors

A.

New Vendors over $5,000

B. Chan went over copier obligation. We have 5 canon copier machines right now. The broker group is out of NYC and reliable. We have fancy machines but the allowance is tight and we are about to hit it. We have exceeded the number of copies. Option 1 is stay put with Canon and at the end of lease we pay out 28 months and pay the overage and pay 11 months of new vendor.

New vendor has no allowance, it is unlimited. The cost goes down if we switch. If we change now, the cost is 4,653.17 and they would give us a check to cover canon. They store the machines until 2028. Canon won't take the money or machines early.

New MBS lease for 11 months at expiration of Canon lease.

D.Zieff asks if we have done the proper research of this company to make sure they are a good company. We would be leasing these new copier machines. D. Zieff states we have to pay property tax.

David Zieff made a motion to terminate the old lease with Canon and enter a new lease with MBS.
Bob Carlson seconded the motion.
The committee VOTED unanimously to approve the motion.
