Call the Meeting to Order

M. Gibb called a meeting of the Master Plan & Facilities Committee Committee of Elgin Math & Science Academy to order on Thursday Jan 2, 2020 at 9:03 AM.

Approve Minutes

D. Haight made a motion to approve the minutes from Master Plan & Facilities Committee Meeting on 12-12-19.
G. Swick seconded the motion.
The committee VOTED unanimously to approve the motion.

II. Master Plan

A.

Master Plan Committee Meeting Times

Will try first Wednesdays at 9.  Consider evenings in future. 

B.

Design and Site Plan Review

Mel reviewed most recent plans from WKArch.  Group discussed Gymnasium proposals and potential changes.  Mel will convey questions/proposed changes to WKArch.

C.

Set Priorities

A big concern is having classroom space in August.  The Gym building could be started now--e.g., roofing, abatement.  It is likely that cabins and gym classes could be made ready for classrooms around the same time.
Will start phase 1 with gymnasium building.  Abatement--would need to get started.  Would this be GC job? Check with Meghan re requirements.   
Will need Leopardo to bid out Gym asap.  Mel will ask Meghan to manage this.

Master Plan Financing

Will need at least 60 days to secure financing.  Will also need to incorporate City in plans--Kerry to bring in asap.
 

E.

Existing Structure Concerns

Barn doors had defective lock.  Facilities committee will revisit gutter issues.

New Grant Award and Potential Grants/Funding

III. Facilities

A.

Tree and ecosystem protections

Richard discussed concerns with oaks between Neil Building and Gym.  Soil is getting compacted which can injure trees.  Recommends education & stewardship combined with perimeters tree plantings; could create a manual/brochure.  Can implement other open areas on campus.  Need a moratorium through the winter.  
Education:  in-service with manual.
Expand spaces:  Incorporate other play spaces, especially at dining hall.  Richard will see to Dining Hall tree trimming.
Include WKArch and Leopardo in approach to tree protections and walking path.
