Call the Meeting to Order

M. Gibb called a meeting of the Outreach: Families and Community Committee of Elgin Math & Science Academy to order on Thursday Jun 13, 2019 at 4:26 PM.

Approve Minutes

K. Kelly made a motion to approve minutes from the Outreach Committee Meeting on 02-14-19 Outreach Committee Meeting on 02-14-19.
M. Gibb seconded the motion.
The committee VOTED unanimously to approve the motion.

II. Outreach: Families and Community

A.

Lottery: March 7, 2019 Results

We will have to ask the permission from the Commission to host the lottery in February, this would help in the parents' decision-making process.
We will need an answer by mid-July to add this to the calendar, etc.

 

B.

Community Outreach

The committee reviewed existing (last year's) hand-outs and suggested edits.
Update Spanish translations.
We need to be clear that there is no tuition for EMSA.
Welcome English learners.

Upcoming Events and Ideas

Need activities and/or give-aways.
Mel will reach out to the PTC, Sarah will reach out to IMPACT crew for volunteers.

Upcoming outreach events at which EMSA will participate:
  1. HopeFest at New Life--July 27, 10-2 . NEED 4
  2. Project Backpack at ECC--August 3, 9-1 pm .  NEED 3
  3. National Night Out at Spring Street--August 6, 6-8 pm .  NEED 3.  Kerry to check in with ROPE officer Farrell.  Can we attend an event at one of the courts?  Check with Martell?
    1. Sarah will attend
  4. Back-to-School BBQ Bash at Wing Park--August 17, noon-4 pm
  5. Salvation Army Fall Fest
  6. Salvation Army Christmas
  7. Housing Authority of Elgin Bike Give Away
Reach out to:  Youth Leadership Academy for student volunteers

Need to reach out to:
  1. Two Rivers Head Start.
  2. Summit Preschool
  3. Laundromats with EPEL 
  4. Referral points--get gear!  (Mel will add to application)
  5. East Side Rec Center--splash pad
  6. Laotian--Kerry & Mel
  7. iFest--Mel
  8. Are there community centers, such as Laotian?

III. Other Business

A.

Goals of the Outreach Committee

Attend local outreach events.
Keep diversity within 5% of current diversity. 
    Hispanic population increased overall.
    White non-Hispanic remained about the same.
    Asian families were down significantly in Kindergarten registration; however, that number has increased recently in upper grades.
    Black and African American numbers decreased slightly, however, this might be raised by the number of two or more races answers.

Mel will inquire with Robert re entering-3d grade waitlist decline.  Can focus on this at outreach events.

Kindergarten waitlist is at 70.

 

B.

Future Meetings

We'll try to have a virtual meeting the 2d week of July.

S. Said seconded the motion.
The committee VOTED unanimously to approve the motion.
There being no further business to be transacted, and upon motion duly made, seconded and approved, the meeting was adjourned at 5:42 PM.
