Call the Meeting to Order
N. Brinson called a meeting of the board of directors of Excelsior Village Academies to order on Thursday Sep 17, 2026 at 7:15 PM.

Approval of Minutes
R. Hutchins made a motion to approve the minutes from Excelsior Villages Academies Board Meeting & Public Hearing on 06-25-26.
A. Holmes seconded the motion.
The board VOTED to approve the motion.

R. Hutchins made a motion to approve the agenda as distributed.

II. CEO Report
A.
Enrollment Update
- Currently at 254 enrolled students with 2 pending withdrawals, 13 new applications accepted, 5 pending registration approval, 11 seats offered.
- 338 on the waitlist as of right now
- Most seats available in K, with a waitlist of 30 right now
- Goal: Level out at 275 capacity
B.
General Updates
- 7 weeks into school
- Focus: First 6 weeks of school were culture, systems focused
- PE/Health added and students are excited about that
- Vetting and hiring of teachers has been strong, Summer Teacher Institute helped to bolster skills as first year teachers
- Leaders have stepped into roles more, Flowers is stepping back and letting leaders lead
- Vacancies:
- Culture Associate & Counselor Role
- Front Office Role
- Parents are volunteering to help fill this role

Facilities
- Current building is being used to capacity
- No major issues yet with HVAC, but in talks with Rebecca (22 Beacon) to ensure as weather cools classrooms remain comfortable
- In talks with 22 Beacon Architects for building expansion
- Taking initial drafts and thoughts to the county
- Creating a feasibility plan for cost and timeline
- After Sept. 22, more concrete details will be revealed regarding layout, timeline and plans for modulars in the interim
- Looking to greenlight a traffic study to get recognition of being a school (flashing lights, speed zone, etc)
- Pushing for rezoning as well during this renovation and new build process
D.
First Month of School Updates
- Just finished IRLA & iReady Diagnostics, next meeting we will have data from upper and lower school students with YoY data
- Milestones math data was not as impressive as anticipated
R. Hutchins made a motion to move the executive session from September's meeting to October's meeting.
K. Rutherford seconded the motion.

III. Governance
A.
Board Meeting Calendar
- New calendar started in July, and did not meet in August because there was no quorum
- During FY26, we were meeting on the fourth Thursday of the month and for FY27, we decided to move board meetings to the third Thursday of the month
- EdTech would have to close books early if board committed to third Thursday of the month
D. Paige made a motion to approve the FY27 Board Meeting Calendar, the third Thursday of each month.
R. Hutchins seconded the motion.

B.
Board Responsibilities
- Board Recruitment:
- Lisa reached out with some potential members for the team
- Needing to bring in new people for the board
- Board Chat N Chew, on a Saturday, October 17 (11a-1p)
- Using the PTO for support
- MF will follow up with PTO meeting calendar
- Board Training
- Coming in February 9-10, 2027

- All current terms end on June 30, 2027
D. Paige made a motion to updating current board terms to end in June 2027.
K. Rutherford seconded the motion.

SCSC Monitoring
- Current monitoring phase ends Sept. 30
- MF has been uploading documents to EpiCenter. The following need to be submitted by the end of the month:
