N. Brinson called a meeting of the board of directors of Excelsior Village Academies to order on Thursday Jun 25, 2026 at 6:10 PM.
K. Rutherford made a motion to amend the agenda to make the board meeting calendar item a discussion not a vote.
R. Hutchins seconded the motion.
The board VOTED to approve the motion.

Approval of Minutes

R. Hutchins made a motion to approve the minutes from Excelsior Village Academies' Board Meeting on 04-23-26.

II. CEO Report

A.

Monthly Financial Report Review

  • DE 0396
    • Deficit Elimination Plan request from GADOE
    • Email was distributed to board members prior to meeting 
    • EVA ended the SY25 with a deficit because of:
      • Under enrollment 
      • Building Related Funding 
      • CSP Reimbursements 
    • Today the DE form will be signed by 3 board members and sent to GADOE by June 30 deadline

Enrollment Update

  • As of June 25, 2026, SY27 Student Enrollment
    • K: 50 Seats Offered and Accepted 
    • 1: 13 Seats Offered and Accepted 
    • 2: 12 Seats Offered and 11 Accepted
    • 3: 6 Seats Offered and 6 Seats Accepted
    • 4: 0 Seats Offered
    • 5: 10 Seats Offered and 9 Accepted
    • 6: 8 Seats Offered and 7 Accepted
    • 7: 5 Seats Offered and Accepted
  • Current Enrollment is 275, Waitlist is 271 Students

General Updates

  • New Teacher Institute Starts: July 6
  • All Teacher Institute Starts: July 13
  • Kindergarten Starts July 27
  • First Day of School is August 3
  • Hiring: 
    • 2 more teachers to get offer letters out 
    • SRO position is still outstanding 
    • Ops Associate is outstanding 
    • Student Services Coordinator is outstanding 
    • Vetting references for school counselor and culture coordinator
  • Facilties: 
    • Working with 22 Beacon; they have surveyed the building to talk about building needs
    • Architects are coming up with design plans for building addition
    • For SY27: 
      • Painting and floor work is being done to prepare for new year 
      • 3 month trial with new vendor doing internal facilities work on the campus 
      • HVAC system is old and outdated, will need to be repaired or replaced now that entire building is being used across all classrooms
      • Outside area: Something softer for students for PE/Health

Board Meeting Calendar

  • June is the last meeting for SY26
  • July will be a month off from board meetings as SY26 is still closing out
  • Next Meeting will be Thursday, August 27

Board Responsibilities

  • Each person will bring in one person to apply to be a board member

    • Educators and staff will be there

Budget Hearing

  1. Enrollment Overview
    1. 275 Total enrollment, increase of 60 students 
    2. 96 Free & Reduced lunch Students
    3. 22 Special Education Students
  2. Budget Summary 
    1. Total Revenue increase year over year is up 32% 
      1. Total Revenue is projected to be $4.5M 
    2. Total Expenses increase year over year is up 17%
      1. Expense Drivers: Total FTEs (14.9 to 21.0), Rent (Increasing by $145k)
  3. Personnel Forecast
    1. Salaries are increasing by ~$360k
W. Smith made a motion to amend the budget to increase the contingency fund by $100K to $250K.
D. Paige seconded the motion.
  • Where is the extra money coming from? 
    • Our income is at $436K currently, and we will reduce it to $336K to increase our contingency
